What Is the Compass Associate Portal (CAP)?

CAP — also called ESS (Employee Self-Service) — is Compass Group’s internal HR portal for all US hourly associates and salaried employees. It connects paystubs, schedules, tax forms, benefits, and personal profile management under one login.

How to Log In to the Compass Associate Portal

A standard login takes under 60 seconds. Here is the exact sequence including what your username actually looks like and what the URL change to compassmanager.com really means.

Open any modern browser (Chrome, Safari, Edge, Firefox) and go to:

The site automatically redirects to https://sso.compassmanager.com/login. This is normal and expected — it is Compass Group’s single sign-on system. Both domains are owned and operated by Compass.

Bookmark the URL. Compass Group never sends login links by SMS, WhatsApp, Facebook, or email. If someone does, it is a phishing attempt — report it to your manager.

👤 Format 1 — Personnel Number

Most hourly associates. A 6 to 8 digit employee ID number. Found at the top of any paystub, on onboarding paperwork, or on your name badge if your venue uses RFID badges.

📧 Format 2 — Compass Network ID

Some salaried employees. An 8-digit number that usually starts with 9, followed by @compassassociate.com.

Try your 6-digit Personnel Number first. If it fails, ask HR for your Compass Network ID — most hourly associates do not have one and never need it.

Option 1 (Personnel Number) works for 95% of employees

✅ Option 1 — Personnel Number (Recommended)

Select United States, enter Personnel Number, leave Clocking ID blank, click Next. Use this if you have a paystub or your manager gave you an employee number.

⚠ Option 2 — Clocking ID (MyStaff Only)

Use ONLY if you clock in/out using MyStaff or Compass Time clock terminals at your venue. If you don’t know what a Clocking ID is, you don’t have one — use Option 1.

Verify Your Identity

  • Birth month — enter number only (e.g., 3 for March, 11 for November). Never type “March”.
  • Last 4 digits of SSN
  • First letter of last name (capital or lowercase accepted)
If this step fails, your Personnel Number or identity details may not match HR records yet. New hires should wait 48 to 72 hours after starting for HR records to fully process. If still failing after that window, contact on-site HR to verify your file before retrying.

Email is required — this is where all reset emails go

The system may show an email already on file — confirm it is correct or enter your personal email. Phone number is optional but speeds up account recovery.

⚠ Use a personal email — not a work email. If your employment ends, you lose access to your work email but still need to download W-2s and paystubs for tax purposes. Gmail, Outlook.com, Yahoo, and iCloud all work.

Complete Setup via Email Link
Check inbox within 5 minutes of submitting

Check inbox for a welcome email from Compass Group. Click “Complete Account Setup”. Then:

  • Create a secure password (minimum 8 characters, mix letters and numbers)
  • Set up 3 security questions — choose answers you’ll actually remember
  • Click Continue to finalize
Email not in inbox after 5 minutes? Check spam, junk, and promotions folders. The setup link expires in 24 hours. If expired, restart registration or call HR.

04 — Paystubs

How to View and Download Paystubs

The most-used feature in CAP. Direct deposits often appear in the portal a day or two before the money actually hits your bank account — you can preview your pay early.

Most recent first — scroll for older stubs

A list of pay periods appears sorted by most recent first. Click the date range you need. Compass Group pays bi-weekly (every two weeks) for most hourly associates.

For a loan or housing application, most lenders want the 2 to 3 most recent paystubs. Download all of them in one session to save time.

Open and Save the PDF
Store locally — don’t rely on the portal forever

Click View Paystub. The stub opens as a PDF. Use your browser’s download button or File → Save As to save to your device or cloud storage.

⚠ Important: Older paystubs may become inaccessible after they are archived. Download and locally store any paystub you might need for taxes, loans, or lease renewals.

05 — W-2 Tax Forms

How to Download Your W-2 from CAP

W-2 forms are available in CAP by January 31 each year. You do not need to wait for the paper copy in the mail — download and file as soon as the digital version posts.

Log In and Open PeopleHub
W-2s are in PeopleHub, not the main Pay tab

Log in at ess.compassassociate.com. From the dashboard, click the PeopleHub tile. If you see “Employee Central” instead, that is the same module under an older label.

If neither PeopleHub nor Employee Central appears on your dashboard, your account may need to be linked. Call HR with your Personnel Number — this fix takes 2 minutes on their end.

Navigate to Pay → Tax Forms → W-2
Inside the PeopleHub module

Inside PeopleHub click Pay → Tax Forms → W-2. A list of available tax years appears. Select the year you need (e.g., 2025 for your 2025 tax return filed in early 2026).

Download the W-2 PDF
Available by January 31 — give to your tax preparer or upload to tax software

Click the year to open the PDF. Download and save immediately. Use it to file your federal and state income taxes, give it to your tax preparer, or upload it directly to TurboTax, H&R Block, FreeTaxUSA, or Cash App Taxes.

⚠ W-2 Missing After January 31? (1) Verify you actually worked for Compass in that tax year (2) Call HR Helpdesk at 1-877-311-4747 (3) Ask HR if a paper copy was mailed to your address on file — if you moved during the year and never updated CAP, the paper copy went to the old address and digital posting may have been delayed.

Update Tax Withholding (W-4) Inside PeopleHub
Adjust federal/state deductions per paycheck

PeopleHub → Actions → Federal & State Withholding Taxes. Update your W-4 to increase or reduce the amount withheld. Changes apply from today forward — backdating is not allowed.

Update your W-4 after any major life event: marriage, new child, second job, divorce, spouse change in employment. This can reduce the amount owed at tax time or increase your take-home pay each period.

06 — Profile & Benefits

Managing Your Profile, Benefits & Direct Deposit

Outdated contact info is the number one reason employees miss payroll notifications, benefit confirmations, and password reset emails. Update it the day anything changes.

Add names, relationships, phone numbers, and email addresses. Multiple contacts are supported. This is used by HR and site management if an on-site incident occurs at your venue.

Update Direct Deposit
The one action your manager cannot do for you

PeopleHub → Pay → Direct Deposit. Add a new bank account, change your primary account, or split deposits across multiple accounts. Only you or HR can make this change — managers cannot.

Changes take 1 to 2 pay cycles to activate. During the transition, both your old and new accounts may receive partial deposits. Keep the old account open until at least one full deposit hits the new account.

Open Enrollment: Benefit elections can only be changed during annual Open Enrollment or within 30 days of a qualifying life event (marriage, divorce, new dependent, loss of other coverage). Outside these windows, most elections are locked until the next enrollment cycle.

Three reset paths depending on your situation. Use the correct one to avoid wasting time and triggering further lockouts.

Answer Security Question
Answers are case-sensitive and must match exactly

Answer exactly as typed during registration — capitalization matters. If you cannot remember:

  • Click “Reset Account” instead (different link on the same page)
  • Call 1-877-311-4747 and HR can manually reset it
Too many wrong security answers can lock the reset process itself. Do not guess more than twice. Call HR directly — that is the fastest path when you’re truly stuck.

Create New Password and Log In
Wait 2–3 minutes after reset before attempting login

Open the reset email link. Create a new password. Then wait 2 to 3 minutes before logging in — the system needs to sync changes across CAP, ESS Mobility, and OMS through SSO. Logging in too soon throws a “credentials not yet propagated” error that some users mistake for a bad password.

Password Rules: Minimum 8 characters · Must include letters and numbers · Cannot reuse last 5 passwords · Expires approximately every 90 days for some accounts

Dashboard Stuck or White Screen After Login
Cookie issue — exact fix below

If the page hangs, shows a white screen, or stays on a loading spinner after you log in, the issue is almost always stale cookies from a previous session. The fix:

  • In Chrome: Settings → Privacy and Security → Cookies and other site data → See all site data → search compassassociate.com and compassmanager.com → delete only those entries (don’t clear all cookies, you’ll lose other logins)
  • In Safari: Settings → Privacy → Manage Website Data → search Compass and remove
  • Close the browser completely, reopen, then log in again

Tip 01

Direct deposit posts in CAP before it hits your bank

Compass uploads paystubs to CAP 1 to 2 days before your bank credits the deposit. If you’re tracking expected income for a bill or rent payment, log into CAP late Wednesday or Thursday for a Friday payday — the dollar amount is usually already locked in.

Tip 02

Your first paycheck is delayed by one full pay cycle

If you started this Monday, you do NOT get paid this Friday. Compass payroll runs on a 1-cycle lag. Hours worked in week 1 are processed in week 2 and paid in week 3. New hires panic about a “missing paycheck” every week — this is normal, not a bug.

Tip 03

Personnel Number vs Network ID — how to tell which you have

Look at the top-right of any paystub. A 6-digit number = Personnel Number (most hourly staff). An 8-digit number starting with 9 = Network ID (some salaried staff). If your manager addresses you by an 8-digit ID in emails, you have a Network ID and need the email format login.

Tip 04

Levy, Chartwells, Bon Appétit — your W-2 won’t say that

Your branded uniform doesn’t match your W-2. All Compass sub-brands issue tax forms under “Compass Group USA, Inc.” or a specific Compass legal entity. File taxes with the employer name shown on the W-2 — not the brand on your nametag. This trips up new tax filers every January.

Tip 05

Wait exactly 2 minutes after a password reset

The 2 to 3-minute wait after a password reset is not a polite suggestion — it’s a hard SSO sync window. Compass syncs your new password across CAP, ESS Mobility, OMS, and PeopleHub. Logging in earlier triggers a “credentials not yet propagated” error that looks identical to a wrong password and panics most users into trying again, which then triggers a lockout.

Download everything in your first week of separation

If you leave Compass, download all paystubs and W-2s in week 1, not week 4. Standard portal access typically remains usable for several weeks after separation, but specific features can deactivate without warning. Save the PDFs to cloud storage (Google Drive, iCloud, Dropbox) — you’ll need them for unemployment claims, future tax filings, and apartment applications.

The HR Helpdesk has a best-call window

Hold times spike Monday mornings (everyone calling about weekend issues), the Friday before payday (paycheck questions), and the last week of January (W-2 chaos). The shortest hold times are typically Tuesday to Thursday between 10am and 2pm Eastern Time. Skip Mondays unless you have to call.

Tip 08

Multi-state event staff: you may owe taxes in multiple states

If you work events for Levy or Restaurant Associates across state lines (e.g., a baseball stadium in PA and a concert venue in NJ), your W-2 will show separate state wage lines. You may need to file non-resident state tax returns. Track which state each event was in — your paystub state code shows it.

Tip 09

Direct deposit transition rule — don’t close the old account too soon

When you change banks in CAP, the change takes 1 to 2 pay cycles to fully activate. During the transition, the old account may still receive partial deposits. Keep it open until you confirm at least one full deposit has hit the new account. Closing too soon means a check by mail (slow) or a returned-payment fee.

Rehired within 18 months? Try old credentials first

Returning seasonal and rehired employees usually keep the same Personnel Number and CAP account for up to about 18 months after separation. Try logging in with your original credentials before re-registering. If it fails, call HR — reactivating an old account is faster than creating a new one and avoids duplicate records that confuse W-2 mailing.

Tip 11

W-2 Box 12 codes — what they actually mean

Most associates ignore Box 12 and shouldn’t. Code DD = total cost of employer-provided health coverage (informational, not taxable). Code D = pre-tax 401(k) contributions. Code W = HSA contributions. If you contributed to a 401(k), Code D shows you the exact amount you put in pre-tax — useful for retirement planning and confirming HR matched the right contribution percentage.

Fix the dashboard freeze without clearing all cookies

If CAP gets stuck after login (white screen, infinite spinner), the cause is almost always stale Compass cookies. Don’t clear ALL cookies (you’ll lose every other login). Open your browser’s site-data settings, search compassassociate.com and compassmanager.com, and delete only those entries. Close the browser fully, reopen, and log back in. Fixes it 90% of the time.

What is my username for the Compass Associate Portal?

Your username is your Personnel Number (employee ID) — for example 123456. Some employees with a Compass Network ID use the email format: 90000009@compassassociate.com. If unsure, ask your on-site HR manager or check the top-right of any paystub.

I left Compass Group. Can I still access my W-2 and paystubs?

Yes. Separated (former) employees can still access W-2 forms and paystubs. On the Login Assistance page, select “Separated Employee” and use your personal email address to recover access.
